Exchange 2007 - "send as" problem
Hi We moved over to Exchange 2007 from an other mailserver system we used many years. If I'm honest, I'm shocked what's still not possible with a Exchange system or just very awkward what other systems easily can since years and what should be just usual for a mailserver in my opinion. Of course we have some email addresses we use only for external customers like "info" or "registration", nobody from the internal employees should see this addresses in the GAL. This email addresses are mostly managed from more than one person, mostly a whole department with many employees and they all should be able to "send as" with this email address. So we created a new mailbox for this addresses, gave all the users the "send as" right and also full access to this mailbox. Then we imported the Mailbox into the Outlook 2007 from each user so that they can see the Mailbox and all the folders. They can reply and send now also to this emails with this sender address "info@domain.xx".....so far so good. Problem 1: If we hide the Mailbox from the GAL all the users can't send anymore emails with this sender address, because Outlook can't find the address in the GAL. Problem 2: We didn't found a solution to create a Outlook rule so that all Emails they sent with this info address will appear in the info Mailbox "Sent Items" instead in their personally Mailbox "Sent Items". Is there a way to solve this 2 problems? Thank you very much.

Problem 1: Your users should still be able to "send as" using the primary smtp address of the shared mailbox. Problem 2: You can create an Outlook rule, check messages after sending, through the specified account (the shared mailbox), move a copy the the specified folder (sent items folder in the shared mailbox).

Hi, Problem 1: If we hide the Mailbox from the GAL all the users can't send anymore emails with this sender address, because Outlook can't find the address in the GAL. Problem 2: We didn't found a solution to create a Outlook rule so that all Emails they sent with this info address will appear in the info Mailbox "Sent Items" instead in their personally Mailbox "Sent Items". To work around these problems, you can use the following method: 1. Add the Info mailbox to the user's outlook profile by using POP3 protocol: 2. click Tool->Options->Mail setup tab->Email Accounts. 3. In E-mail tab, click New, follow the instruction to set up a POP3 account for info@domain.com. Click More settings. In Advanced tab, select the option "Leave a copy of messages on the server". 4. Then if you want to send a mail by using Info@domain.com address, you can specify it as the sender account. See the following picture.
